Policies: Use & Access Restrictions
and Guidelines
The following materials are restricted from use by researchers:
1. Any collection less than twenty-five (25) years old.
2. Any unprocessed collection.
3. Any collection restricted according to conditions set forth in the Donor Agreement Form.
4. Any record restricted by the Archbishop and/or the Chancellor.
5. Any sacramental record created within the 75-year period prior to January 1 of the current year.
6. The Archives staff retains the right to review any material and waive any restrictions which may apply to the material.
The following guidelines are for use of and access to the Archdiocesan Archives by researchers:
1. Office hours are 9 a.m. to 5 p.m., Monday to Friday. Appointments are required. All researchers must complete a registration form.
2. Access to records is granted by the Archives staff in accordance with archival and departmental policies. Access to material does not include or infer permission to make facsimile reproductions from or of any manuscript.
3. All materials must be handled with extreme care. Cotton gloves (supplied by the Archives staff) must be worn when handling photographs.
4. No materials may be taken from the Archives. The stacks are closed to researchers except when accompanied by Archives staff.
5. The exact order of materials in a box and file folder must be preserved. File folders are to be removed one at a time. If a mistake is discovered, please call it to the attention of the staff; do not re-arrange the material yourself. Do not remove loose material from a file folder.
6. Photocopying will be done by the Archives staff for $0.25 per page provided such duplication does not harm the materials and does not imply copyright exchange. Microfilm copies are available for $0.25 per page.
7. All quoting of manuscripts and other materials must be done in accordance with the Quotation and Publication Policy of the Archdiocesan Archives.
8. Pencils must be used to take notes. Personal computers may be used. Ink pens are not permitted.
9. Coats, bookbags, briefcases, and other personal property not essential to a researcher’s work must be left at the coat rack.
10. Eating, drinking, and smoking are not permitted.
11. The Archives requests that two copies of those articles, monographs, or books which include original research material from the Archives be placed in the Archives.
